1. Obtaining Voting Forms

  • Online Voting: A voting link will be sent to all members via a special voting email to the email address on record.

  • Paper Voting Forms: Paper voting forms will be available from the Bar when voting opens. Members will need to present their membership card at the Bar to obtain a paper ballot form. If collecting forms on behalf of additional members, you will also need to provide their details, or they will need to attend and collect their forms themselves.

2. Receipt of Votes

All online and paper ballots will be received and securely held by the Returning Officer until voting closes.

  • In terms of Rule 12(d) In the event of there being more nominations than the number required to fill all the positions available, the names of the Candidates shall be included in a form of Ballot Paper which shall be sent to all Members by post or email. Such Ballot Papers shall be returned to the Club Office on or before 5pm on the day immediately prior to the Annual General Meeting.

3. Handover to Scrutineer

Once voting concludes, the Returning Officer will hand over all received ballots to the appointed Scrutineer.

4. Verification / Validation

The Scrutineer will:

  • Confirm each vote is from a full financial member.

  • Ensure only one vote per member is counted.

    • If both an online and paper vote are received from the same member, the paper ballot will be deemed the valid vote.

    • If more than one online vote is received from the same member, the vote with the earliest time stamp will be deemed the valid vote.

  • Validate that no more than four candidates have been selected per ballot. Ballots with more than four selections will be ruled invalid.

  • Validate a maximum of one vote per candidate per ballot. Ballots with multiple votes for one candidate will be ruled invalid.

5. Counting of Votes

All valid votes will be tallied. The result will be confirmed and documented.

  • In terms of Rule 12(d) The result of the election (which shall be by a secret ballot) will be announced at each Annual General Meeting. In the event of an equality of votes, a coin shall be tossed at the Annual General Meeting to enable a result to be announced.
